## What's an Apify Actor?

An Actor is a serverless cloud program that runs on the Apify platform. It has two run modes.
In Batch mode, an Actor accepts a well-defined JSON input, performs an action which can take anything from a few seconds to a few hours,
and optionally produces a well-defined JSON output, datasets with results, or files in key-value store.
In Standby mode, an Actor provides a web server which can be used as a website, API, or an MCP server.

Apify vocabulary and the platform model are defined once, in the agent quickstart at https://apify.com/agents.md.

## How to integrate an Actor?

If asked about integration, you help developers integrate Actors into their projects.
You adapt to their stack and deliver integrations that are safe, well-documented, and production-ready.

Do not guess an integration path. Every one of them is in the agent quickstart at https://apify.com/agents.md: the Apify MCP server, Agent Skills with the Apify CLI, the JavaScript and Python clients, the REST API, and the account-free path for an agent with no human to sign in. It also carries the rule on stating cost before the first paid run.

For examples already wired to this Actor's own input schema, see the [API](#api) section below.

Each client library has reference documentation the quickstart does not restate: [JavaScript/TypeScript](https://docs.apify.com/api/client/js/docs.md) (`npm install apify-client`) and [Python](https://docs.apify.com/api/client/python/docs.md) (`pip install apify-client`).

### How to use it

1. Paste one or more **Capterra product pages** (for example `https://www.capterra.com/p/211559/Trello/`) or **category pages** (for example `https://www.capterra.com/project-management-software/`).
2. Set **Max reviews per product**. For a category, set **Max products per category** too.
3. Optional: choose the **sort order** (most recent, most helpful, lowest or highest rating) and filter by **star rating**, **company size**, **date**, or skip incentivized reviews.
4. Start the run and download the results as Excel, CSV or JSON, or send them to Google Sheets, n8n, Make or Zapier.

### Sorting and fast filters

Reviews can be sorted **most recent**, **most helpful** (Capterra's default), **lowest rating** or **highest rating** first. Leave it on **Automatic** and the Actor picks the order that finds your reviews fastest:

- a date filter or "only new reviews" reads **newest first** and stops as soon as it reaches older reviews;
- a 1-3 star filter reads **lowest rating first** and stops once ratings go above your filter;
- a 4-5 star filter reads **highest rating first**.

So strict filters don't mean paying to read hundreds of pages.

### Monitoring products

Turn on **Only reviews not saved in my earlier runs** and schedule the Actor (for example weekly). Each run reads newest first, saves only the reviews you haven't received before, and stops when it reaches ones you already have. You only pay for new reviews.

### Pricing

You pay **per review saved**, nothing for reviews removed by your filters or for failed pages. See the exact price on the Pricing tab.

Set a maximum cost per run in the run options if you want a hard limit. The Actor stops as soon as it reaches it, so you never pay more than you set.

### Tips

- **Company size filters** can't be sorted on, so a strict size filter may need more pages to find matches. **Max review pages to read per product** caps that.
- **Several categories or products in one run** are fine; a product is only reviewed once per run.
- **Reviews from sister sites:** Capterra also shows reviews written on GetApp and Software Advice (same company). They are included, and `sourceSite` tells you where each one was written.
- **"Only new reviews" remembers every review it read for a product**, including ones your filters skipped. Turn it off for a run if you change filters and want older reviews again.
- **Proxy:** Capterra blocks datacenter IPs, so the default is Apify's US residential proxy. Keep it.

### Personal data

Reviews include the reviewer's public display name (first name and initial) and job title as shown on Capterra. If you store or use this data, make sure you have a lawful reason to, for example under GDPR.

### Changelog

- **0.1**: First release. Product and category input, sorting (most recent, most helpful, lowest and highest rating), star, company size and date filters, and monitoring of new reviews.

# Actor input Schema

## `startUrls` (type: `array`):

Product pages (https://www.capterra.com/p/211559/Trello/ or its /reviews/ page) and/or category pages (https://www.capterra.com/project-management-software/). For a category, the top products are reviewed.

## `maxReviewsPerProduct` (type: `integer`):

Stop after this many saved reviews for each product (after filters).

## `maxProductsPerCategory` (type: `integer`):

For category pages: how many of the category's top products to review.

## `sortBy` (type: `string`):

Automatic picks the order that finds your reviews fastest: newest first when you set a date or 'only new reviews', lowest first for 1-3 star filters, highest first for 4-5 star filters.

## `starRatings` (type: `array`):

Keep only these overall ratings. Tip: 1-2 stars = unhappy customers of a competitor. Empty = all.

## `companySizes` (type: `array`):

Keep only reviews from companies of these sizes. Empty = all.

## `reviewsSince` (type: `string`):

Keep only reviews written on or after this date (YYYY-MM-DD).

## `excludeIncentivized` (type: `boolean`):

Skip reviews where the reviewer was offered a gift card or similar.

## `onlyNewReviews` (type: `boolean`):

Remembers the reviews you already got (per product) and saves only new ones. Use with a schedule to monitor products. You pay only for new reviews.

## `maxPagesPerProduct` (type: `integer`):

Capterra shows 25 reviews per page. With strict filters the Actor may read many pages to find matching reviews; this caps it. It always reads at least enough pages to reach your Max reviews per product.

## `proxyConfiguration` (type: `object`):

Capterra blocks datacenter IPs. Keep Apify's US residential proxy.
