## Pricing

Pay per event

This Actor is paid per event. You are not charged for the Apify platform usage, but only a fixed price for specific events.
Since this Actor supports Apify Store discounts, the price gets lower the higher subscription plan you have.

## What's an Apify Actor?

An Actor is a serverless cloud program that runs on the Apify platform. It has two run modes.
In Batch mode, an Actor accepts a well-defined JSON input, performs an action which can take anything from a few seconds to a few hours,
and optionally produces a well-defined JSON output, datasets with results, or files in key-value store.
In Standby mode, an Actor provides a web server which can be used as a website, API, or an MCP server.

Apify vocabulary and the platform model are defined once, in the agent quickstart at https://apify.com/agents.md.

## How to integrate an Actor?

If asked about integration, you help developers integrate Actors into their projects.
You adapt to their stack and deliver integrations that are safe, well-documented, and production-ready.

Do not guess an integration path. Every one of them is in the agent quickstart at https://apify.com/agents.md: the Apify MCP server, Agent Skills with the Apify CLI, the JavaScript and Python clients, the REST API, and the account-free path for an agent with no human to sign in. It also carries the rule on stating cost before the first paid run.

For examples already wired to this Actor's own input schema, see the [API](#api) section below.

Each client library has reference documentation the quickstart does not restate: [JavaScript/TypeScript](https://docs.apify.com/api/client/js/docs.md) (`npm install apify-client`) and [Python](https://docs.apify.com/api/client/python/docs.md) (`pip install apify-client`).

# README

## Bank Statement PDF to CSV & Excel Converter (UK, Reconciled)

**Bank statement PDF to CSV and Excel converter for UK banks.** Turn UK bank statement PDFs into clean spreadsheet rows, then **prove every penny**: the Actor checks that opening balance + money in − money out equals the closing balance printed on the statement, and checks every running balance on the way. If even 1p is missing you get **MISMATCH** and the exact difference, never a silent "done".

Built for freelancers, sole traders, bookkeepers and accountants doing monthly books, Self Assessment, Making Tax Digital prep, mortgage or loan paperwork, and anyone moving old statements into Xero, QuickBooks, FreeAgent or Excel.

### Why this one

- **Reconciled, not guessed.** Every statement gets a verdict: `RECONCILED`, `MISMATCH` (with the difference and the rows where the balance broke), or `UNVERIFIED` (no balances printed to check against).
- **No AI, no hallucinated rows.** A deterministic parser reads the PDF's text layer and the column positions. Same PDF in, same CSV out, every time.
- **Nothing stored.** The PDF is downloaded to a temp file, parsed and deleted inside the run. The statement's account number is only ever shown as the last 4 digits, and long account/card numbers inside descriptions are masked.
- **UK layouts.** Separate Paid in / Paid out (Money in / Money out, Debit / Credit) columns or a single signed Amount column, `OD` / `DR` / `CR` / brackets / minus signs, `02 Mar 26`-style and `02/03/2026` dates, same-day rows with no printed date, multi-line descriptions, and BALANCE BROUGHT / CARRIED FORWARD lines on multi-page statements.
- **Bookkeeping-ready.** Rule-based categories (Income: Client payment, Software & subscriptions, Travel, Rent & utilities, Tax: HMRC, Transfers...), a "Check receipt (VAT likely)" flag on typical VAT-bearing spend, duplicate warnings, and per-category totals.
- **Import formats.** Standard CSV, Xero bank statement CSV, or QuickBooks 3-column CSV.

### Quick start

1. Paste one or more statement PDF links into **Statement PDF URLs** (or upload PDFs to a key-value store and list their keys).
2. Pick a CSV format (Standard, Xero or QuickBooks).
3. Run. Open the **Reconciliation summary** tab for the verdict, the **Transactions** tab for the rows, and download `ALL_TRANSACTIONS.csv` (or `statement-1.csv`, `statement-2.csv`...) from the key-value store.

The prefilled example is a public, fictional sample statement, so you can try it straight away.

### Pricing (pay per event)

| Event | Price |
|---|---|
| Statement converted (transactions extracted and reconciled) | $0.04 |
| Run start | $0.005 |

Scanned/image-only PDFs, password-protected PDFs, files that are not bank statements and failed downloads are **not charged**. Converting 12 monthly statements for a tax year costs about $0.49.

### Output

One **transaction** row per statement line:

| Field | Example |
|---|---|
| date | 2026-03-02 |
| description | CARD PAYMENT TO THE COPPER KETTLE |
| moneyIn / moneyOut | – / 508.17 |
| amount | -508.17 |
| balance | 6972.45 |
| category | Meals & subsistence |
| vatFlag | Check receipt (VAT likely) |
| balanceCheck | OK |

One **summary** row per statement: verdict, bank, account last 4, period, opening, total in, total out, computed closing, statement closing, `difference` (on MISMATCH), balance breaks, uncategorised count, per-category totals, issues to review, and a direct CSV download link.

### Limits (honest)

- **Scanned statements are not supported yet.** If the PDF is a scan or photo (no selectable text) you get `SCANNED` and are not charged. Download the PDF from online banking instead.
- Unusual layouts can still trip the parser. When that happens the reconciliation shows MISMATCH instead of hiding it, so you know to check. Please open an issue with the bank name (never send a real statement) and I'll add the layout.
- Categories are rule-based suggestions, and the VAT flag is a prompt to keep the receipt. This is not tax advice.

### Privacy

Statements are processed in memory/temp storage during the run and deleted immediately. Results live only in your own Apify run storage (dataset and key-value store), which you can delete at any time. No data is sent anywhere else.

### FAQ

**How do I convert a bank statement PDF to CSV or Excel?** Paste the PDF link (or upload the file), pick Standard, Xero or QuickBooks format, and run. Download the CSV and open it in Excel or Google Sheets.

**Which banks does it work with?** UK statements downloaded from online banking, such as Barclays, HSBC, Lloyds, NatWest, Santander, Monzo and Starling. Layouts are read from column positions, so most text-based UK statements work. If one doesn't, the verdict says MISMATCH rather than giving you wrong numbers.

**Can I import the result into Xero or QuickBooks?** Yes. Choose the Xero bank statement CSV or the QuickBooks 3-column CSV format.

**Does it work on scanned statements?** Not yet. Scans return SCANNED and are free. Download the PDF from online banking instead.

**Is my statement kept?** No. It's deleted inside the run, and account numbers are masked to the last 4 digits.

**Can I call it from code or Zapier/Make?** Yes, through the Apify API or the Apify integrations for Zapier, Make and n8n.

# Actor input Schema

## `pdfUrls` (type: `array`):

Direct links to bank statement PDFs (one per line). Text-based PDFs downloaded from online banking work best. Each statement is processed separately and gets its own verdict and CSV.

## `uploadedPdf` (type: `string`):

Optional. Upload one statement PDF from your computer instead of giving a link. For several files, upload them one at a time into the URL list or run once per file.

## `keyValueStoreKeys` (type: `array`):

Optional, for API users. Keys of PDF records in this run's default key-value store, or in the store set below. That store must be readable by anyone with its ID (Apify runs this Actor with limited permissions).

## `keyValueStoreId` (type: `string`):

Optional. ID of a key-value store holding the PDFs, with general access set to 'Anyone with ID can read'.

## `outputFormat` (type: `string`):

Layout of the CSV files saved to the key-value store. The dataset always has every field.

## `maskAccountNumbers` (type: `boolean`):

Replace long account, card and sort-code numbers inside descriptions with their last digits. The statement's own account number is always shown as the last 4 digits only.

## `maxPagesPerStatement` (type: `integer`):

Safety limit for very long PDFs. Pages after this are ignored (the reconciliation will then usually show MISMATCH).

```
# Actor output Schema
## `summary` (type: `string`):
One row per statement with the verdict and totals.
## `transactions` (type: `string`):
Every transaction in a table view.
## `csv` (type: `string`):
Combined CSV of every statement in the run.
