## What's an Apify Actor?

An Actor is a serverless cloud program that runs on the Apify platform. It has two run modes.
In Batch mode, an Actor accepts a well-defined JSON input, performs an action which can take anything from a few seconds to a few hours,
and optionally produces a well-defined JSON output, datasets with results, or files in key-value store.
In Standby mode, an Actor provides a web server which can be used as a website, API, or an MCP server.

Apify vocabulary and the platform model are defined once, in the agent quickstart at https://apify.com/agents.md.

## How to integrate an Actor?

If asked about integration, you help developers integrate Actors into their projects.
You adapt to their stack and deliver integrations that are safe, well-documented, and production-ready.

Do not guess an integration path. Every one of them is in the agent quickstart at https://apify.com/agents.md: the Apify MCP server, Agent Skills with the Apify CLI, the JavaScript and Python clients, the REST API, and the account-free path for an agent with no human to sign in. It also carries the rule on stating cost before the first paid run.

For examples already wired to this Actor's own input schema, see the [API](#api) section below.

Each client library has reference documentation the quickstart does not restate: [JavaScript/TypeScript](https://docs.apify.com/api/client/js/docs.md) (`npm install apify-client`) and [Python](https://docs.apify.com/api/client/python/docs.md) (`pip install apify-client`).

## Meeting Recording to Minutes & Action Items — Audio to Meeting Notes

Turn a meeting recording into ready-to-send minutes — summary, decisions, **action items with owners and due dates**, open questions and a speaker-labelled transcript — in a few minutes, for about a cent per audio minute.

### What you can do

- **Recording → minutes:** mp3, m4a, wav, ogg, webm, or mp4/mov video (the audio track is used).
- **Action items you can act on:** owner, task, due date (resolved to a calendar date when you give the meeting date), the timestamp and the exact quote where it was said.
- **Decisions and open questions** with who raised them and when.
- **Speaker-labelled, time-stamped transcript** as text and JSON.
- **Automation-ready:** clean JSON with one array per section for n8n, Make or Zapier, plus a Markdown file to paste into Notion, Confluence or an email.
- **Any language:** spoken language is detected automatically; minutes can be written in another language.

### How to use

1. Paste a **direct download link** to the recording. The file must be publicly reachable and yours (or you must have the right to process it). Web-page share links (Google Drive / Dropbox previews) do not work — use the direct file link.
2. Optionally add the meeting title, date (lets "next Friday" become a calendar date), attendee names (helps match speakers and owners) and the agenda.
3. Start the run. The Actor first reads the recording length, checks the price against your run's maximum cost, and only then starts. Results are in the **Output** tab.

### Pricing

You pay **per started audio minute**. Failed runs are free.

| Event | Price |
|---|---|
| Audio minute (each started minute of the recording) | $0.012 |

| Recording | Price |
|---|---|
| 2-minute clip | $0.024 |
| 30-minute meeting | $0.36 |
| 1-hour meeting (typical) | $0.72 |
| 2-hour meeting | $1.44 |

The length is measured before any work starts. Set the run's maximum cost at or above the price — the Actor checks it first and stops without charging if it is too low.

Available on paid Apify plans.

### Input example

```json
{
  "recordingUrl": "https://example.com/recordings/weekly-sync.m4a",
  "meetingTitle": "Weekly product sync",
  "meetingDate": "2026-10-27",
  "attendees": ["Maria - PM", "Tom - engineering"],
  "maxDurationMinutes": 120
}
```

| Field | Required | Notes |
|---|---|---|
| `recordingUrl` | yes | Direct link to the audio/video file |
| `maxDurationMinutes` | no | Default 120, up to 240. Longer recordings stop before any charge |
| `meetingTitle`, `meetingDate` (YYYY-MM-DD), `attendees`, `agenda` | no | Context for better minutes |
| `language` | no | Spoken language code (en, de, es…). Empty = auto-detect |
| `minutesLanguage` | no | Write the minutes in another language, e.g. English |
| `numSpeakers` | no | Max number of speakers (1–32). Empty = auto |
| `removeFillerWords` | no | Default on: drops "uh/um", false starts, background sounds |

### Output example

One dataset item per recording:

```json
{
  "title": "Weekly product sync",
  "meetingDate": "2026-10-27",
  "durationSeconds": 1834,
  "language": "eng",
  "summary": "The team reviewed the Q4 roadmap …",
  "speakers": [{ "label": "Speaker 1", "name": "Maria", "role": "product manager" }],
  "topics": [{ "title": "Q4 roadmap", "notes": ["Billing page moves to November"], "timestamp": "00:02:10", "timestampSeconds": 130 }],
  "decisions": [{ "id": "D1", "decision": "Ship the billing page in November", "madeBy": "Maria", "timestamp": "00:07:42", "timestampSeconds": 462 }],
  "actionItems": [{
    "id": "A1",
    "owner": "Tom",
    "task": "Send the updated estimate to finance",
    "dueDate": "by Friday",
    "dueDateIso": "2026-10-30",
    "timestamp": "00:12:05",
    "timestampSeconds": 725,
    "quote": "Tom, can you get the new estimate to finance by Friday?"
  }],
  "openQuestions": [{ "id": "Q1", "question": "Who owns the migration rollback plan?", "raisedBy": "Speaker 3", "timestamp": "00:25:40", "timestampSeconds": 1540 }],
  "billedMinutes": 31,
  "priceUsd": 0.372,
  "minutesMarkdownUrl": "https://api.apify.com/v2/key-value-stores/…/records/minutes.md",
  "minutesJsonUrl": "https://api.apify.com/v2/key-value-stores/…/records/minutes.json",
  "transcriptUrl": "https://api.apify.com/v2/key-value-stores/…/records/transcript.txt",
  "transcriptJsonUrl": "https://api.apify.com/v2/key-value-stores/…/records/transcript.json"
}
```

Key-value store files:

| Record | Content |
|---|---|
| `minutes.md` | Formatted minutes: summary, participants, discussion, decisions, action-item table, open questions |
| `minutes.json` | The same minutes as JSON |
| `transcript.txt` | `[HH:MM:SS] Speaker N: text`, one line per speaker turn |
| `transcript.json` | Speaker turns with start/end seconds |

**n8n tip:** add an *Apify* node (run Actor, get dataset items) → *Split Out* on `actionItems` → *Asana / Jira / Linear / Trello* node, mapping `owner`, `task`, `dueDateIso` and putting `quote` + `timestamp` in the description.

### Limits

- Up to 240 minutes per recording (default cap 120 — raise `maxDurationMinutes`).
- The file must be reachable by a direct link; private or login-protected links fail (free).
- Recordings without speech, or files whose length cannot be read, fail before any charge.

### Good to know

- Owners are written **as spoken** ("Tom", "the design team"). Speakers appear as "Speaker 1, 2…" unless a name is said in the meeting or your attendee list makes it clear.
- Speaker separation works best with clear audio and one speaker at a time; heavy cross-talk can merge speakers.
- Minutes are generated by AI — review them before sending, especially owners and due dates.
- Files stay in the run's storage for as long as your Apify plan keeps it — download what you want to keep.
- Questions or a missing option? Open an issue on the Actor page.

# Actor input Schema

## `recordingUrl` (type: `string`):

Direct, publicly downloadable link to the meeting recording you own or have the right to process: mp3, m4a, wav, ogg, webm or mp4/mov video (the audio track is used). Share links that open a web page (Google Drive, Dropbox preview) will not work. Use a direct download link.

## `maxDurationMinutes` (type: `integer`):

Safety cap. The Actor reads the recording's length before doing any work and stops (free of charge) if it is longer than this.

## `meetingTitle` (type: `string`):

Optional. Used as the minutes heading. If empty, a title is written from the content.

## `meetingDate` (type: `string`):

Optional, YYYY-MM-DD. Lets relative deadlines such as "next Friday" be resolved to calendar dates (dueDateIso).

## `attendees` (type: `array`):

Optional list of participant names (and roles, e.g. "Maria - PM"). Helps match speakers and action-item owners to real names.

## `agenda` (type: `string`):

Optional agenda or context for the meeting.

## `language` (type: `string`):

Optional ISO-639 code of the spoken language, for example en, de, es. Leave empty to detect automatically.

## `minutesLanguage` (type: `string`):

Optional language to write the minutes in, for example English. Leave empty to write them in the meeting's language.

## `numSpeakers` (type: `integer`):

Optional maximum number of speakers (1-32). Helps speaker separation; leave empty to detect automatically.

## `removeFillerWords` (type: `boolean`):

Drop filler words (uh, um), false starts and background sounds from the transcript.
