⭐ Capterra Reviews Scraper

πŸš€ Export every Capterra review of any software product in seconds. Paste a product URL or just type its name and get 50 fields per review back: overall and sub-ratings, pros, cons, reasons for choosing and switching, the reviewer's role, industry and company size, the vendor's reply, and the product's rating and starting price on every row. No login, no cookie, no cap at 2,500 reviews.

The Capterra Reviews Scraper reads the same review data Capterra's own page loads, straight from the site's review feed, so every field the page shows is in your dataset, including the ones hidden behind "Continue reading". It pages through the feed with Capterra's own cursor, which is why a product like Slack yields its full history (24,190 reviews at the time of writing) rather than the 2,500 a page-by-page crawl stops at.

Each run delivers one row per review with 50 fields. Sort and filters (star rating, company size, reviewer role, length and frequency of use) are applied by Capterra before the data reaches you, so a "1-star only" run on Slack returns exactly the 175 reviews that match instead of paying for 24,190 and filtering afterwards. A 300-review run finishes in about 12 seconds.

🎯 Target AudienceπŸ’‘ Primary Use Cases
Product marketers and competitive intelligence teamsTrack what customers praise and complain about across your competitors, week after week.
Sales and revenue teamsMine "switched from" and "reasons for switching" fields for accounts leaving a rival product.
Founders and product managersBuild a feature and pain-point map from thousands of verified user reviews before the roadmap meeting.
Analysts, researchers and data scientistsAssemble labelled review corpora with sub-ratings, reviewer segments and dates for NLP and sentiment work.

πŸ“‹ What the Capterra Reviews Scraper does

πŸ’‘ Why it matters: a Capterra review on screen is a headline, five stars and a truncated paragraph. What you need to act on is the structure underneath: the five separate sub-ratings, the exact date, who wrote it (role, industry, company size, how long they have used the product), why they chose it over which alternatives, what they switched from, whether the vendor replied, and whether Capterra verified the reviewer. This Actor puts all of that on one row per review, for as many reviews as the product has.

  • Accepts product URLs (any /p/<id>/<name>/ page, reviews, pricing or alternatives variants included) and product names, which it resolves through Capterra search.
  • Collects the full review: title, overall rating, ease of use, customer support, features, value for money, likelihood to recommend (0-10), full text, pros, cons, advice to others, reasons for choosing and reasons for switching.
  • Captures the reviewer profile Capterra publishes: name (initials only, by Capterra design), job title, industry, company size, time using the product, LinkedIn verification, validation checks passed, anonymity flag and profile picture.
  • Adds the product summary on every row: logo, overall and sub-ratings, total review count, starting price with currency, pricing model, billing frequency, free trial and free version flags, and every Capterra category the product is listed in.
  • Records the vendor response (date and text) when the vendor replied.
  • Applies Capterra's own sort and filters: Most Helpful, Most Recent, Highest or Lowest rating; star rating, company size, reviewer role, length of use and frequency of use. The dataset also carries matchingReviews, the count of reviews that match your filters, so you always know your coverage.
  • Pages with Capterra's cursor, so there is no 2,500-review ceiling; a 3,000-review test run on Slack came back with 3,000 unique reviews dated from 2016 to the day of the run.
  • Handles Cloudflare automatically: residential proxy sessions are rotated until one clears, and if Cloudflare keeps challenging, a stealth browser solves the challenge once and the review feed is read from inside that page. You can also force HTTP-only or browser-only with Access Mode.

πŸ“Š Output

Every row is one review. Values Capterra withholds are reported as Not Disclosed, sub-ratings the reviewer skipped as Not Rated, and fields that do not apply to the row as N/A, so no column is ever silently empty.

"reviewText": "There was definitely a learning curve to Hubspot, even for someone coming from other robust CRM systems. I've used many, and the great thing about Hubspot CRM is that it really can do a lot. But if you're thinking you can just bring other CRM experience and find your way around with ease, you'll probably find yourself a bit frustrated. Even though it's all within one ecosystem, it wasn't nearly as intuitive as I would've liked. Ultimately, the company I used Hubspot CRM with moved to a more simplified system. It was just too powerful and complex for what we really needed, even at scale.",
"pros": "With Hubspot CRM, I liked that I could create custom properties and have them displayed within the contact records. While the contact records aren't 100% customizable, having features like this where we could display custom properties was very helpful. I appreciate a CRM system that allows for flexibility and customization.",
"cons": "If you don't have a large team with different departments and multiple pipelines in play, this system is simply overpowered for what you'd need. For our use case, I found myself trying to use features that we truly didn't need in order to get the value out of the system. Hubspot is a costly system built in a modular format, so if you want to do X within the CRM, you need to buy Y access. If you're wanting to run your business \"tech-lean,\" Hubspot CRM is NOT the system for you.",
"adviceToOthers": "Not Disclosed",
"reasonsForChoosing": "Ultimately, Hubspot was used by more teams in our industry, so we figured it would be a good fit for what we needed.",

✨ Why choose this Actor

  • Full history, not the first 2,500. Capterra's page navigation stops at page 100. This Actor pages the review feed with Capterra's own cursor and keeps going; a 3,000-review run on Slack returned 3,000 unique reviews back to 2016.
  • Server-side sort and filters. Rating, company size, reviewer role, length and frequency of use are applied by Capterra, so you only pay for rows that match, and matchingReviews tells you the true size of the filtered set.
  • 50 fields per review, including the five sub-ratings as numbers, likelihood to recommend, reasons for choosing and switching, alternatives considered, products switched from, the reviewer's validation checks and the vendor's reply.
  • Product context on every row. Overall and sub-rating averages, total reviews, starting price, pricing model, billing frequency, free trial and free version flags, categories. No second Actor needed to join product data.
  • Search by name. Type "HubSpot CRM" or "monday.com" and the Actor resolves the product through Capterra search, exact name match first.
  • Honest sentinels. Not Disclosed, Not Rated and N/A instead of empty cells, so a blank never hides a parser miss.
  • Fast and light. 300 reviews in about 12 seconds, a few kilobytes of proxy traffic per page.

Capterra publishes reviewer names as first name plus last initial and never publishes contact details; no tool can add what the site withholds, and this one reports exactly what is public.

πŸš€ How to use

  1. Create a free Apify account through this link and get $5 of monthly credit.
  2. Open the Capterra Reviews Scraper in the Apify Store and click Try for free.
  3. Paste one or more Capterra product URLs, or type product names under Product Names.
  4. Optionally pick a Sort By order and any filters (star rating, company size, reviewer role, length and frequency of use), and set Max Items or Max Reviews Per Product.
  5. Click Start. The run finishes in seconds for a few hundred reviews, a couple of minutes for a product's full history.
  6. Open the Dataset tab and download CSV, Excel, JSON or XML, or pull the rows through the API.

Example input, the churn signal for a competitor:

{
"searchTerms": ["monday.com"],
"sort": "MOST_RECENT",
"overallRating": ["1", "2"],
"maxItems": 500
}

πŸ’Ό Business use cases

Competitive intelligence

Pull every review of three competing products with sort: MOST_RECENT, group cons and reasonsForSwitching by month, and see which complaints are growing before they show up in your own churn numbers.

Sales prospecting from switch signals

Filter a rival product to 1 and 2 stars, read reviewerJobTitle, reviewerIndustry and reviewerCompanySize, and hand the sales team a list of the segments most likely to be shopping around, with the exact objections they voiced.

Product and roadmap research

Join the pros and cons of your own product's reviews with reviewerTimeUsed and reviewerCompanySize to separate onboarding friction (new users) from scale problems (2+ years, 1,001+ employees).

Pricing and packaging analysis

productStartingPrice, productPricingModel, productHasFreeTrial and productHasFreeVersion sit on every row, so one dataset across a category answers "who charges per user, who has a free tier, and how are they rated on value for money".

πŸ”Œ Automating Capterra Reviews Scraper

  • Make and Zapier: trigger a weekly run with sort: MOST_RECENT and push new rows into a Google Sheet or a CRM.
  • Slack: post any new 1-star or 2-star review on your own product to a channel the minute it appears.
  • Airbyte: load the dataset into your warehouse and join it with product usage data.
  • GitHub Actions: schedule the Apify API call and commit the CSV to a repository for versioned history.
  • Google Drive: export the run as Excel straight into a shared folder.

🌟 Beyond business use cases

  • Research: build a dated, segmented review corpus for sentiment, topic or survival analysis across hundreds of products.
  • Personal: compare the tools you are considering on what long-term users say, not on the marketing page.
  • Non-profit: evaluate donor management and volunteer software on reviews from organisations your size.
  • Experimentation: feed reviews to an LLM to summarise the top three complaints per product per quarter.

πŸ€– Ask an AI assistant about this scraper

Paste the Actor's Store URL into ChatGPT, Claude or any assistant that browses, and ask it to draft the input for your case, for example "give me the input JSON to get the 200 most recent reviews from companies with 51 to 500 employees for Asana and ClickUp". The input schema is plain JSON and the assistant will map your words to the fields above.

❓ Frequently Asked Questions

⭐ Does it really get all reviews, not just 2,500?

Yes. Capterra's page links stop at page 100, but its review feed supports cursor paging and this Actor uses it. A 3,000-review test on Slack returned 3,000 unique rows dated 2016 to 2026.

πŸ”Ž Can I search by product name instead of URL?

Yes. Put names under Product Names. The Actor runs Capterra search and takes the exact name match when there is one, otherwise the top result, and logs which product it matched.

πŸŽ› Are filters applied by Capterra or after download?

By Capterra. The Actor sends your sort and filters to the same review feed the site uses, so you only pay for matching rows. matchingReviews on each row is the size of that filtered set.

πŸ‘€ Why are reviewer names only "Eric N."?

That is how Capterra publishes them. No email, phone or full surname is public, and the Actor never invents one.

🏷 Where is the vendor's reply?

In vendorResponseDate and vendorResponseText. Most reviews have no reply, in which case both read N/A.

πŸ”’ What do Not Rated and Not Disclosed mean?

Not Rated marks a sub-rating the reviewer skipped (Capterra stores it as 0.0). Not Disclosed marks a text field the reviewer left empty. Neither is a scraping error.

🌐 Do I need a proxy?

Capterra sits behind Cloudflare and challenges datacenter IPs on product pages, so residential proxies are on by default and the Actor rotates sessions until one clears. When Cloudflare challenges every session, the Actor starts a stealth browser, clears the challenge once and continues from inside that page (about 15 extra seconds). Access Mode lets you force HTTP-only (cheapest) or browser-only (most resilient). You can switch the proxy off if you run from a residential IP of your own.

⏱ How fast is it?

About 25 reviews per request, and requests take well under a second. 300 reviews took 12 seconds in testing over HTTP; when the browser fallback kicks in, add about 15 seconds once per run. A product's full 20,000-review history takes a few minutes.

πŸ’Έ Am I charged for error rows?

No. A row with a message in error (for example a URL that is not a Capterra product) is never charged.

πŸ“… Is the review date exact?

Yes, reviewDate is the day Capterra shows on the review, normalised to ISO YYYY-MM-DD.

🧾 Can I get product data without reviews?

Every row already carries the product's ratings, review count, pricing and categories. Set maxReviewsPerProduct to 1 to get one row per product.

πŸ” Will I get duplicates?

No. Rows are de-duplicated on Capterra's review ID within each product.

πŸ”Œ Integrate with any app

The dataset is available through the Apify API in JSON, CSV, Excel and XML, and every run can be triggered from the API, a schedule, a webhook or the Apify client libraries for JavaScript and Python.
